Planning a Corporate Event in Detroit, MI: The Ultimate Checklist for a Seamless Experience
Corporate events have a lot of moving parts, and the ones that go smoothly come from taking the right steps to prepare. As one of Detroit’s preferred luxury transportation providers for 17 years, we understand how important planning and timing are to the success of an event – especially one that impacts your professional connections. That’s why we’ve created this checklist covering every major category of planning for your next corporate gathering.
Budget
- Set a total event budget before soliciting any vendor quotes
- Break it into line items: venue, food and beverage, AV, décor, transportation, printed materials, speaker fees, and miscellaneous
- Build in a contingency of at least 10–15%
- Identify which line items have fixed costs and which have variables (per-head catering, hourly vehicle rates, etc.)
- Confirm what’s included in each vendor contract versus billed as an add-on
- Track actuals against budget as contracts are signed

Helpful Tip: Food and beverage almost always comes in as the largest line item, and catering minimums are frequently higher than expected. Get the food and beverage number pinned down early so it doesn’t quietly eat the rest of the budget.
Agenda
- Draft the agenda before sending event details to attendees
- Work backward from your hard end time to set session lengths
- Build in realistic buffer time between sessions
- Confirm speaker topics, timing, and any AV or tech requirements
- Confirm speaker order, transitions, and who’s introducing each segment
- Have a written plan for what happens if a speaker runs long
Helpful Tip: The agenda almost always needs at least one revision after your first draft. Write it, share it with a second set of eyes, and expect to cut something. A tight program keeps guests engaged.
Venue
- Confirm your date, estimated headcount, and event format (seated dinner, cocktail reception, general session, etc.) before reaching out to venues
- Visit the space in person and have your details on-hand (headcount, agenda, AV requirements, etc)
- Verify the venue’s capacity for your specific room setup, not just its maximum
- Ask about exclusive vendor requirements for catering, AV, and bar service
- Confirm parking availability and whether it’s included or billed separately
- Check loading dock and drop-off access for shuttle buses and coaches
- Review the contract for overtime fees, damage policies, and cancellation terms
- Get a venue contact who will be on-site the day of the event
Helpful Tip: Downtown Detroit venues near Ford Field, the Renaissance Center, or the theatre district often have limited on-site parking and tight loading access. If you’re considering one of these, have a transportation plan in place before you sign.
Catering
- Identify dietary restrictions during registration
- Confirm headcount with your caterer at least one week out (and again 48 hours out)
- Decide on service style: plated dinner, buffet, heavy appetizers, or stations
- Choose bar service format (if applicable): hosted open bar, consumption bar, or drink tickets
- Confirm whether the venue or an outside caterer handles bar service and who holds the liquor license
- Ask the caterer for a day-of timeline and confirm it aligns with your program
Helpful Tip: If you haven’t collected dietary data and need a working estimate, plan for roughly 8–10% of guests to have vegetarian or vegan needs and 2–3% with a serious allergy. It’s better to over-order on dietary accommodations than to run out.
AV and Production
- Determine what AV you need: microphones, projectors or LED screens, stage lighting, livestream
- Hire a dedicated AV technician for anything beyond a basic meeting setup
- Schedule a tech rehearsal with every speaker before the event, including any presenting remotely
- Test laptop and presentation compatibility with the venue’s display system in advance
- Confirm WiFi reliability at the venue if you’re live-streaming or running anything cloud-dependent
- Have a backup plan for remote presenters (recorded video as a fallback)
- Brief your AV tech on the full program schedule so they can anticipate every transition
Helpful Tip: Venue and hotel WiFi is frequently less reliable than advertised. If your event depends on a stable connection, ask specifically about dedicated bandwidth — and test it at the actual venue before the day of.
Transportation
- Determine how guests are arriving: driving, flying in, coming from a hotel, or a mix
- Segment your guest list : VIPs, out-of-town guests, and local attendees often have different transportation needs
- Book a corporate shuttle for groups moving between a hotel and the venue on a set schedule
- Arrange executive sedan or stretch SUV service for VIP guests, board members, or clients you want to impress
- Set up airport transfers for out-of-town guests flying into DTW — confirm flight details in advance
- Scout the venue’s drop-off and pickup access for coaches before the event
- Book a return shuttle for end-of-night departures, especially if there’s an open bar
- Confirm all transportation in writing at least 72 hours before the event: vehicle type, driver contact, pickup addresses, and full schedule
- Assign one person to own transportation logistics on the day of the event

Helpful Tip: Don’t rely on rideshare for group departures downtown. After a busy Friday night, surge pricing and limited availability could leave your group stranded. A return shuttle is a better experience and removes stress at the end of a long day.

Guest Communications
- Send a save-the-date as soon as the date is confirmed
- Follow up with full event details 2–3 weeks out: location, parking or shuttle info, dress code, agenda overview, and RSVP deadline
- Include shuttle pickup locations and times in all communications once transportation is confirmed
- Send a reminder the day before for events larger than a small team meeting
- Prepare a day-of contact number for guests with questions or logistical issues
Helpful Tip: Include the shuttle pickup location and timing in every communication. Guests can miss details the first time and appreciate the reminder. It also significantly cuts down day-of questions to your event coordinator.
Day-Of Logistics
- Confirm all vendors the day before: caterer, AV tech, venue contact, and transportation
- Arrive at the venue early enough to walk through setup before guests arrive
- Brief all on-site staff on the program timeline and their specific roles
- Confirm driver arrival 30 minutes before the first pickup
- Have a printed copy of the full schedule with all vendor and driver contact numbers on hand
- Assign one person to manage each major function: registration, program, catering, and transportation
- Do a final walkthrough of the arrival experience before doors open: signage, registration, and setup
Helpful Tip: Walk the event as a guest would, starting from where they park or step off the shuttle. If anything is unclear, fix it before the first person arrives. First impressions are set in the first three minutes.
